Club Rules

General Rules (amended AGM 2022)

1    The club shall be called the ‘Biggleswade & District Camera Club’ and shall be open to all members.

2    Membership of the Camera Club implies the undertaking to comply with and abide by the rules.

3    The annual subscription shall be fixed for the following season at the Annual General Meeting and be payable during the first four meetings of the season.

4    The Officers shall consist of a Chairman, Secretary and Treasurer and other specific post-holders as agreed at the Annual General Meeting.

5    The affairs of the club shall be managed by a Committee consisting of the Officers plus other members as may be agreed at the Annual General Meeting, all to be elected annually. The Committee shall have a maximum membership of fifteen.

6    All Officers and Committee members are eligible for re-election each year.

7    Special meetings may be convened on a requisition signed by at least ten ordinary members, stating the object, and sent to the Secretary at least fourteen days before the date proposed.

8    At Committee meetings, four and Chairman shall form a quorum, and at general meeting a quarter of the club membership.

9    The Secretary shall keep minutes of all meetings and conduct the correspondence of the Club. The Treasurer shall collect all subscriptions and monies due after authorisation by the Committee. At the end of each club year, a Balance Sheet shall be drawn up by the Treasurer and audited. A report on the financial position of the Club shall be made to the Committee by the Treasurer every three months.

10  All equipment purchased shall become the absolute property of, and to remain entirely with the Biggleswade & District Camera Club under the control of the Camera Club Committee and shall not be disposed of without the sanction and authority of the Committee.

11 Visitors are welcome at the club at any time and may attend three meetings before a subscription becomes due. Their names shall be entered in the register of attendance which is maintained by a member of the Club Committee.

The following shall not be admitted as visitors:

  • Former members who have been expelled.
  • Members who are under suspension.

12  A member may be expelled or asked to resign from the Club at the decision of the Committee. The Committee can request a member to appear before it, provided that where any accusations or charge is made the member shall be given full and reasonable opportunity to put forward a defence and bring witnesses at a later meeting. Any member expelled or asked to resign shall have the right of appeal to a Special General Meeting called for the purpose.

All Committee proceedings and those of any Special General Meeting called under this rule shall be treated as privileged and confidential.

13  The name of any member whose subscription is more than four meetings in arrear at the start of the season may be removed from the list by order of the Committee after a request for the subscription has been made.

14  Members are expected to respect the property and facilities provided by the Club at all times.

15  Members who are under 16 must be accompanied to all meetings by a responsible adult who must also be a paid-up member of the club. Members who are over 16, but under 18, may attend unaccompanied, but parental permission must be given.

16  No alteration of, or addition to, these rules shall be made except by the Annual General Meeting or a Special Meeting called in accordance with Rule 7. No amendment shall be made which would have the effect of making the charity cease to be a charity at law.

17  In the event of dissolution a Special General Meeting shall be called at which a liquidator shall be appointed to dispose all assets of the club either: Directly for objects; or by transfer to any charity or charities for purposes similar to the objects; or to any charity or charities for use for particular purposes that fall within the objects.
